Terms of Service

These terms govern your use of LeaseTracker, property management software provided by WILLOW CREEK SOFTWARE LLC ("we," "us"). By creating an account or using LeaseTracker, you agree to them. If you're creating an account on behalf of a company, you're confirming you have the authority to bind that company to these terms.

Who can use LeaseTracker

You must be at least 18 years old and able to form a binding contract. LeaseTracker is built for property managers, their staff, and their tenants — a tenant account is a shared identity that can connect to more than one property manager if you're renting from (or applying to) multiple companies.

Free trial and subscription

New companies get a 14-day free trial. After that, continued use requires an active subscription, billed through Stripe as a flat monthly base fee plus a per-active-lease fee that scales down at volume (see our pricing page for current rates) — pricing is per active lease, not per tenant, so a lease with several tenants on it counts once.

If your trial ends without a subscription, your account is suspended: you can still log in, manage billing, or delete your account, but the rest of the app is locked until you subscribe. Manage or cancel your subscription any time from Company Settings → Billing, which uses Stripe's own billing portal.

Refunds: subscription fees are billed in advance and are non-refundable for partial billing periods, except where required by law. If you cancel, you keep access through the end of the period you already paid for.

Payments you collect from tenants

If you connect a Stripe account to collect rent through LeaseTracker, rent payments go directly to your own connected Stripe account — LeaseTracker never holds or transmits tenant funds itself. You're responsible for your own Stripe account, its fees, and complying with Stripe's own terms. LeaseTracker isn't a party to any lease, isn't a payment processor or money transmitter, and isn't responsible for a tenant's payment or a landlord's failure to remit funds owed outside the platform.

Your content and your responsibilities

You own the data you put into LeaseTracker — leases, tenant records, documents, and everything else. You're responsible for its accuracy, for having the right to use and share it (including any tenant or owner data you enter about someone else), and for complying with the landlord-tenant, fair housing, and other laws that apply to your properties. LeaseTracker is software, not legal or property-management advice, and doesn't review what you enter for legal compliance.

Acceptable use

Don't use LeaseTracker to violate any law, including fair housing and anti-discrimination law; to store or share content you don't have the right to; or to probe, disrupt, or gain unauthorized access to the service. We can suspend or terminate accounts that violate this.

Third-party services

LeaseTracker relies on third-party services — Stripe for payments, Firebase for push notifications, and others — to operate. Your use of those features is also subject to those providers' own terms. See our Privacy Policy for the full list.

Account deletion and termination

A property manager can permanently delete their company account (and everything under it) from Company Settings — this is irreversible. A tenant can close their own account from Account Settings; the property manager keeps the underlying lease and payment history they're required to retain. We can suspend or terminate an account for non-payment, violation of these terms, or if we discontinue the service, with notice where practical.

Disclaimers and limitation of liability

LeaseTracker is provided "as is," without warranties of any kind, express or implied. We don't guarantee the service will be uninterrupted, error-free, or fit for a particular purpose. To the fullest extent permitted by law, LeaseTracker isn't liable for indirect, incidental, or consequential damages arising from your use of the service, and our total liability for any claim is limited to the amount you paid us in the 12 months before the claim arose.

Changes to these terms

We may update these terms from time to time. If we make material changes, we'll update the date at the top of this page and, where appropriate, notify account holders directly. Continued use after a change means you accept the updated terms.

Governing law

These terms are governed by the laws of the Commonwealth of Pennsylvania, without regard to conflict-of-law principles.
