Privacy Policy

LeaseTracker, provided by WILLOW CREEK SOFTWARE LLC ("we," "us"), provides property management software for landlords and property management companies, used by property managers, their staff, and their tenants (together, "you"). This policy explains what information we collect, why, and how you can control it.

Information we collect

We collect information you provide directly, or that's provided about you by a property manager using LeaseTracker:

  • Account and contact info — name, email address, phone number.
  • Property and lease info — apartment/unit addresses, lease terms, rent amounts, due dates.
  • Payment and financial records — rent charges, payments, credits, and balances. We do not store your card or bank account numbers ourselves; those are handled directly by our payment processor, Stripe (see below).
  • Documents you upload — leases, identification, insurance certificates, inspection reports, receipts, and similar files, at the discretion of whoever uploads them.
  • Messages — support tickets and messages exchanged between tenants and property managers through the app, and internal notes a property manager keeps about a tenant.
  • Login and security info — a securely hashed password, and if you enable two-factor authentication, the data needed to verify it. If you sign in with Google, we receive your Google account ID and the email/name it provides.
  • Device push token — if you enable notifications in the mobile app, a token that lets us deliver push notifications to your device (name, model, or advertising ID are not collected).
  • Basic usage timestamps — when you last logged in, so property managers can see whether an invite or account is active. We do not use analytics, advertising, or tracking scripts of any kind.

How we use it

Solely to operate the service: to show you your own leases, balances, and documents; to let property managers manage their properties and tenants; to process rent payments and payouts; to send account, payment, and support-related notifications; and to keep accounts secure. We don't sell your information, and we don't use it for advertising.

Who we share it with

We use a small number of service providers to operate LeaseTracker, each of which only processes your data to provide their specific service to us — they don't use it for their own purposes:

  • Stripe — processes rent payments and, for property managers, payouts. Stripe receives whatever payment details you enter directly; we only receive the resulting transaction records.
  • Firebase Cloud Messaging (Google) — delivers push notifications to the mobile app, using the device token described above.
  • Our email service provider — sends account, payment, and notification emails on our behalf.
  • Our hosting provider — stores the application and its data.

A property manager's tenants, staff, and (where applicable) the property owners they work with can see the information relevant to that relationship within the app — that's the normal, expected function of shared property-management software, not third-party sharing.

We disclose information beyond this only if required by law, or to investigate fraud or protect the safety of our users.

Data retention and deletion

We keep your information for as long as your account is active, plus a reasonable period afterward for records a property manager may need (e.g. payment history). You can request deletion of your own account at any time from within the app — a tenant's own account can be closed from Account Settings, and a property manager's company account can be deleted from Company Settings. Closing a tenant account removes your ability to log in; a property manager keeps the underlying payment and lease history they're required to retain, the same way they would for a paper record.

Security

Passwords are stored using one-way hashing, never in plain text. We support two-factor authentication for added account security. Data is encrypted in transit (HTTPS) between your device and our servers. No system is perfectly secure, but we take reasonable, industry-standard measures to protect your information.

Children's privacy

LeaseTracker is a business tool for property managers and their adult tenants. It isn't directed at children, and we don't knowingly collect information from anyone under 13.

Changes to this policy

If we make material changes to this policy, we'll update the date at the top of this page and, where appropriate, notify account holders directly.
